Sales and prospecting

Give your sales team back the hours admin takes

The write-up, the quote and the follow-up are ready before you leave the meeting. You read them and you send.

manual CRM entry needed to keep the pipeline current

The problem

A salesperson spends a large part of the week on everything except selling: writing up this morning's meeting, digging out the last quote, adapting it, checking it, filling in the CRM so the owner can track the pipeline, and chasing the people who never replied.

That work matters and it gets done badly, because it always comes after everything else. Write-ups appear three days later, quotes go out a week late, the CRM is half empty, and follow-ups happen only when somebody happens to remember.

This is precisely what generative AI is good at: turning raw material into a finished document. The design decision that counts is this one. The assistant prepares, a person approves before anything leaves the building, and the CRM fills up as a side effect rather than as a chore.

This concerns you if

  • Your quotes go out several days after the meeting, sometimes longer
  • Your CRM does not match what is really in your pipeline
  • Nobody can say how many deals went unchased this month
  • Your salespeople rewrite the same proposal from a Word template
  • Your outbound stopped because nobody had time to build the lists

The builds

What gets built

Les délais indiqués sont ceux d'une mise en production réelle, pas d'une démonstration. On n'en lance qu'un à la fois.

  1. 01 3 to 5 weeks

From the meeting to the quote sent

The meeting is recorded with everyone's agreement and transcribed, then the assistant drafts the write-up, the follow-up email and the priced quote from your catalogue. You check it before it goes. The CRM updates itself.

  2. 02 2 to 3 weeks

Follow-ups that no longer depend on memory

Chase sequences triggered by the real state of the deal, with a message written from what was actually said in the meeting rather than copied out of a template.

  3. 03 2 to 4 weeks

Outbound campaigns built by the assistant

The assistant works through your prospecting database, builds lists on your real criteria, drafts the sequences, runs them and reports back. You keep control of what goes out.

  4. 04 2 to 3 weeks

The CRM as a side effect

Contacts, companies, deals and activities created automatically from your conversations, with the fields that actually help you steer. No more Friday afternoon data entry.

Data privacy

On this lever specifically

This is the area that asks for the most discipline. A recorded meeting contains the words of identifiable people, so telling participants and getting their agreement is compulsory, and how long recordings are kept is decided before you start. Transcription runs on a programming interface under contract, with no reuse of your data to train a model, and retention set deliberately.

Common questions

Does the AI send the quotes on its own?

No, and that is deliberate. It prepares the full document, you read it and you press send. A priced quote commits the company, so human review before sending is not a step we optimise away. It simply takes two minutes instead of an hour of writing.

Is it legal to record a client meeting?

Yes, provided you tell the participants and get their agreement before you start, explain what the recording is for, and set a retention period. It is one sentence at the top of the meeting and a line in the calendar invitation. Writing those is part of the build.

Does this work if we have no CRM?

Yes, and it is often the right moment to put one in. A CRM that fills itself gets used, where a CRM you fill by hand is abandoned within three months. Setting it up happens in the same build.

Next step

Where would you start?

Ten days to map where your teams lose time, put a figure on each lever and name the first system to build. If AI is not the right answer, I will tell you so.
